# Personal Information Protection Policy

The policy governing our personal information protection management system. This is a translation for readers of this English-language site; the governing text is the Japanese original held by the company.

TechJapan LLC (the Company) is entrusted with personal information through its AI integration services and the development and operation of its SaaS products. Recognizing that the proper protection of personal information is the foundation of that business, the Company establishes and operates a personal information protection management system based on the policy below, makes it known to its officers and employees, and improves it continuously.

## 1. Compliance

The Company complies with the Act on the Protection of Personal Information, other relevant laws and regulations, national guidelines, and other applicable norms.

## 2. Acquisition, use and provision

Taking into account the nature and scale of its business, the Company acquires personal information by lawful and fair means. Acquired personal information is used only within the scope of the purposes specified in advance, and measures are in place to prevent use beyond those purposes. Except where provided by law, the Company does not provide personal information to third parties without the consent of the individual.

## 3. Purposes of use

- Providing and operating AI integration services, including consulting, system integration and operational support
- Providing and operating SaaS products, including Pasha Kintai
- Responding to and following up on inquiries
- Improving services and planning and developing new ones
- Billing and payment processing
- Sending important notices and maintenance information
- Responding to obligations under law

## 4. Security measures

To prevent the leakage, loss or damage of personal information and otherwise to manage it securely, the Company establishes and operates a necessary and appropriate structure, including the following:

| Personnel | Training and awareness activities for employees |
| Physical | Control of areas in which personal information is handled |
| Technical | Encryption in transit (TLS 1.2 or above), encryption of stored data, access control, tenant separation, and audit logging |

## 5. Management of subcontractors

Where the Company outsources all or part of the handling of personal information, it confirms the personal information protection arrangements of the contractor and supervises them appropriately. The principal external services used are:

| Google Cloud Platform | Data storage and processing, user authentication, AI-OCR processing |
| Cloudflare | Storage of images and files (R2) |
| Stripe | Credit card payment processing. Card details are not stored on the Company’s servers |
| Slack | Internal notification of inquiry content |
| Google Tag Manager / Google Analytics 4 | Usage analytics of the corporate website |

## 6. Rights of the individual

Where an individual makes any of the following requests regarding their personal information, the Company responds within a reasonable period in accordance with law:

- Notification of the purpose of use
- Disclosure of personal information
- Correction, addition or deletion of personal information
- Suspension of use, erasure, or suspension of provision to third parties

## 7. Continuous improvement

The Company reviews its personal information protection management system periodically and improves it continuously in response to changes in social conditions, advances in information technology, and changes in its business.
